We are seeking a Client Service Associate (CSA) to join our team as a central player in delivering an exceptional client experience. This role blends client service with meaningful paraplanning work — you will be deeply involved in the financial planning process from data gathering through implementation, while also serving as the primary point of contact for client requests and follow-through. 

A core part of this role is managing and optimizing our clients’ living financial plans. Every AVID client has a live, evolving plan that requires continuous tracking, updating, and optimization. You will be responsible for keeping these plans current, preparing meeting presentations that reflect the latest data, and ensuring every client interaction is grounded in their most up-to-date financial picture.

Client Service & Experience — You are the face of AVID’s service delivery. Clients should feel heard, informed, and taken care of at every touchpoint. 

Financial Planning & Implementation — You own the paraplanning workflow: from quantitative data gathering through strategy development, plan presentation, and full implementation of recommendations. 

Paraplanning & Financial Planning Process 

  • Gather quantitative client data (income, assets, liabilities, insurance, estate documents, tax returns) and organize for planning analysis 

  • Input client data into RightCapital and other planning software; build preliminary plan scenarios under advisor direction 

  • Develop initial strategy recommendations based on data analysis, then collaborate with advisors and the broader team to refine and finalize strategies — planning at AVID is collaborative by design 

  • Reach out to clients’ CPAs, attorneys, and other professionals to collect data points, coordinate planning details, and confirm information 

  • Use multiple software platforms to build, stress-test, and present comprehensive financial plans 

  • Build out implementation steps for approved strategies — then execute full implementation of all planning tasks and action items 

  • Prepare client-facing presentations and deliverables for review meetings and plan updates 

  • Support the insurance planning process by running preliminary quotes, gathering underwriting information, and coordinating with the firm’s insurance support team through implementation 

Ongoing Plan Management & Optimization 

  • Maintain and update each client’s living financial plan on a continuous basis — tracking changes in income, expenses, goals, tax situations, and life events 

  • Prepare meeting presentations that reflect the most current data, updated projections, and actionable recommendations 

  • Proactively identify optimization opportunities across planning areas and bring recommendations to the advisory team 

  • Ensure every client’s plan is reviewed and refreshed ahead of scheduled meetings 

Client Service & Experience 

  • Serve as the primary point of contact for client service requests, delivering timely, professional, and proactive communication 

  • Extract action items from meeting notes, document in Salesforce, and ensure follow-through on every task 

  • Prepare comprehensive meeting agendas and supporting materials for advisor-client meetings 

  • Coordinate meeting scheduling, including in-person and video meetings 

  • Manage post-meeting workflows: document outcomes, assign tasks, and track to completion 

  • Build and maintain strong client relationships with a white-glove service mindset 

Account Administration & Operations 

  • Process investment onboarding paperwork, asset movements, transfers, and rollovers 

  • Submit and track service requests with Fidelity and Schwab custodial teams; coordinate to resolve account inquiries and facilitate processing 

  • Process RMDs, systematic distributions, and other recurring account servicing tasks 

  • Cross-train on investment operations workflows to ensure continuity and coverage across the team 

Process & Operations 

  • Build and maintain Standard Operating Procedures (SOPs) for client service, planning, and implementation workflows 

  • Maintain accurate and up-to-date client records in Salesforce, ensuring data integrity across all platforms 

  • Contribute to firm-wide projects aimed at improving the client experience, operational efficiency, and scalability

What We're Looking For

Required Qualifications

✅ 1–3 years of experience in financial services, wealth management, or a client-facing professional services role 

✅ Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment 

✅ Excellent written and verbal communication skills with a professional, client-first presence 

✅ Detail-oriented with a high standard for accuracy in data entry, documentation, and follow-through 

✅ Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) 

✅ Tech-savvy with the ability to learn and navigate web-based platforms quickly 

✅ Bachelor’s degree in Finance, Business, Economics, or a related field 

Preferred Qualifications​​
Experience at an RIA, multi-family office, or financial planning firm 

✅ Familiarity with financial planning software (RightCapital, eMoney, MoneyGuidePro, or similar) 

✅ Experience with CRM platforms, particularly Salesforce 

✅ Exposure to custodial platforms (Fidelity Wealthscape, Schwab Advisor Center) 

✅ Experience with portfolio management or reporting platforms (Advyzon, Orion, or similar) 

 ✅Knowledge of insurance products (life, disability, long-term care) and the quoting/underwriting process 

✅ CFP candidacy or interest in pursuing professional designations
